This Privacy Policy explains how Rebook Rocket (operated by Jento Group LLC) collects, uses, stores, and protects personal information when you use our Service at rebookrocket.com. It applies to two groups of people: Providers (businesses that use Rebook Rocket to manage their waitlists) and Waitlist Clients (individuals who join a provider’s waitlist).
1. The Two Roles in Rebook Rocket
Understanding this distinction matters for your privacy rights:
- Providers are our customers. They create accounts, connect Calendly, and use Rebook Rocket to manage their client waitlists. We are the data controller for provider account data.
- Waitlist Clients are the provider’s clients who submit their information to join a waitlist. The provider is the data controller for that data; Rebook Rocket processes it on the provider’s behalf as a data processor.
If you are a waitlist client and have questions about how your data is used, you should contact the provider whose waitlist you joined. We will cooperate with providers and their clients to address data requests.
2. Information We Collect
Provider account data
- Name and business information (if provided during signup).
- Email address and authentication credentials.
- Calendly connection and scheduling data, including webhook payloads used to detect cancellations and openings.
- Subscription and billing status (via Stripe). Payment card details are handled by Stripe and not stored by us.
- Usage and log data: IP address, browser/device type, session data, and diagnostic logs.
Waitlist client data
- Email address (required).
- Any additional fields the provider includes in their waitlist form (such as name, preferred times, service preferences, or notes).
- Email delivery data: timestamps, delivery status, and notification content.
Rebook Rocket communicates with waitlist clients by email only.
3. How We Use This Information
Provider data is used to:
- Operate and maintain your account.
- Sync your Calendly availability and detect cancellations.
- Send you transactional and service-related emails.
- Process subscription payments via Stripe.
- Diagnose issues and improve the Service.
Waitlist client data is used to:
- Store waitlist entries on behalf of the provider.
- Send email notifications to clients when openings become available, as directed by the provider.
- Maintain delivery records for troubleshooting purposes.
We do not use waitlist client data for any purpose beyond operating the Service on behalf of the provider.
4. Third-Party Service Providers
We share personal information with service providers only as necessary to operate the Service:
- Supabase — database hosting and user authentication.
- Calendly — scheduling data and webhook integration.
- Stripe — subscription billing and payment processing.
- Resend — email delivery for waitlist notifications and transactional emails.
- Trigger.dev — background job processing for notifications and scheduled tasks.
- Vercel — application hosting and serverless infrastructure.
We do not sell, rent, or share personal information with third parties for their own marketing purposes.
5. Data Retention
- Provider accounts: retained for the duration of your subscription plus 30 days after termination, after which your data is deleted.
- Waitlist client data: retained for as long as the provider’s account is active, or until the provider deletes it. Providers can delete individual waitlist entries or export their data at any time.
- Billing records: retained as required by applicable law and Stripe’s standard policies.
- Log and diagnostic data: retained for up to 90 days.
6. Your Rights and Choices
Providers
- You can export your clients’ waitlist data as a CSV file from your dashboard, per service type.
- You can delete individual waitlist entries or remove client data through your dashboard.
- You can disconnect your Calendly integration at any time.
- You can delete your account from the Settings page in your dashboard. Account deletion cancels your subscription and schedules all data for permanent removal after 30 days. You may also contact support@rebookrocket.com for assistance.
Waitlist clients
- If you wish to be removed from a provider’s waitlist, contact the provider directly or use the unsubscribe link in any notification email.
- If you cannot reach the provider, contact us at support@rebookrocket.com and we will assist with removal.
- California residents have the right to know what personal data we hold and to request its deletion under the CCPA. We do not sell personal information.
7. Security
We use industry-standard security measures including TLS/SSL encryption, secure database hosting via Supabase, and access controls limiting who can access personal data. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security. We will notify affected users of any confirmed data breach as required by applicable law.
8. International Visitors
Rebook Rocket is primarily intended for US-based providers. If you access the Service from outside the United States, your information will be transferred to and processed in the United States. By using the Service, you acknowledge this transfer. We do not operate a formal GDPR compliance program at this time; if you are an EEA-based provider with specific data processing requirements, please contact us before using the Service.
9. Children
The Service is not directed to anyone under the age of 16. We do not knowingly collect personal information from children. If you believe a child’s information has been submitted through a provider’s waitlist form, please contact us and we will work with the provider to remove it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify providers of material changes by email. Continued use of the Service after changes take effect constitutes acceptance of the updated policy. Waitlist clients should check this page periodically.
